Tophhie Cloud Personal Data Server - Account Inactivity & Deletion Policy

Overview

To keep the network healthy, secure, and sustainable, we periodically review accounts for prolonged inactivity. Accounts that remain inactivate for an extended period may be notified, warned, and ultimately deleted.

This policy explains:

  • What we consider "activity"
  • How inactivity is measured
  • What notifications you'll receive
  • When and how accounts are deleted
  • How to keep your account active

We aim to be transparent, predictable and fair. There are no surprise deletions.


What counts as activity?

An account is considered active on Tophhie Social if any change is made to its data repository, including (but not limited to):

  • Creating, editing, or deleting posts
  • Updating your profile or preferences
  • Following or unfollowing accounts
  • Likes, reposts, or other interactions
  • Deleting content
  • Migration your account to or from this service

Any valid repository update resets the inactivity timer.


How inactivity is measured

We track activity based on the most recent repository update associated with your account.

This timestamp is derived from your account's repository history and reflects the last time any change was made.

We measure inactivity in months, using UTC time.


Inactivity Timeline

Accounts are reviewed on a monthly basis.

If no activity is detected, the following stages apply:

🟡 6 months inactive - Friendly reminder
You'll receive a reminder letting you know:

  • When your last activity occurred
  • That your account is considered inactive
  • How to keep it active

No action is taken at this stage.


🟠 11 months inactive - Final warning
You'll receive a final warning that includes:

  • Your last recorded activity date
  • The scheduled deletion date
  • Clear instructions on how to prevent deletion
  • Information on exporting your data

🔴 12 months inactive - Account deletion
If no activity occurs before the scheduled date:

  • Your account and repository will be deleted
  • Stored content and media will be removed
  • Account access will be permanently disabled

Deletion is irreversible.


How to keep your account active

To keep your account active, simply perform any activity before the deletion date, for example:

  • Log in and update your profile (Bluesky, or any atproto app)
  • Post, like, or follow an account
  • Make any change that updates your repository

Even a small update is enough.


Data export

Before deletion:

  • You'll be given the opportunity to export your account data
  • Instructions for exporting your repository will be included in warning emails

We strongly recommend exporting your data if you do not plan to continue using the service.


Exceptions

The following accounts are not subject to automatic inactivity deletion:

  • System or service accounts
  • Accounts required for operational or administrative purposes
  • Accounts explicitly exempted by policy

You may request an exception via support.tophhie.cloud or help@tophhie.cloud. You must provide a valid reason.


Why we do this

This policy help us:

  • Reduce abandoned data
  • Improve performance and reliability
  • Minimise unnecessary data retention
  • Comply with data protection principles

We believe it's better to be clear and upfront than to silent retain unused accounts forever.
